Quick Summary / Abstract: Staff is requesting approval of the Livermore Valley Joint Unified School District (LVJUSD) Boardroom Audio-Video System Refresh Project Number 212394 Contract. Included in this item is the One Workplace contract proposal and the California Multiple Award Schedules (CMAS) Overview.
Background: The boardroom audio/video (AV) equipment is in need of updating and refreshing, as it is over 15 years old, in order to meet the needs of today's increased technology requirements with HDMI and video conferencing integration, such as Zoom and Google Meet. The AV equipment uses an outdated technology referred to as analog. While we have been creative over the years with minor upgrades here and there to adapt the best we can, it has reached the point where a full upgrade is needed to meet the demands of today's technology requirements. This need is critical in light of new virtual delivery formats as a result of the global pandemic, and in order to increase public accessibility and transparency, going forward.
Status After receiving several proposals and reviewing other boardroom setups, it has been determined the proposal that best meets our needs, now and in the future, is from One Workplace. Their proposal allows us the flexibility to display different content on each screen, interface with different inputs and outputs, connect easily with video conferencing, and expand as needed in the future. It includes a new sound system to adapt to different audio content and gives us the flexibility to divide the room into three smaller rooms and display different content into each of them. Additionally, we will have the ability to set up custom presets for overall ease of use and setup of the system. This contract utilizes the California Multiple Award Schedules (CMAS) for pricing.
Fiscal Impact The amount of the contract proposal is $165,162.55.
Superintendent's Recommendation: The Superintendent's recommendation is that the Board of Trustees approve the contract proposal as presented.
